What you get

  • Discovery + audit of current email setup
  • 5-10 automated sequences built (welcome, nurture, abandoned, post-purchase, re-engagement)
  • Email copy written for each sequence (with your brand voice review)
  • AI inbox triage rules (Superhuman AI, Sanebox, or custom Gmail filters)
  • Customer support macro library (10-20 templates)
  • Segmentation strategy + list hygiene rules
  • Compliance review (Spam Act 2003, unsubscribe flows)
  • Reporting dashboard setup
  • 30 days of post-launch tuning

This is ideal for

  • AU ecommerce + service businesses with 1k+ contacts and no email automation
  • Teams using Klaviyo/ActiveCampaign/Mailchimp at <30% capability
  • Businesses where the founder still answers every customer email manually

This is NOT ideal for

  • B2B accounts with very low list volume (<200 contacts)
  • Highly regulated industries needing manual review per send (legal, financial advice)

Email is still the highest-ROI marketing channel for AU SMB. Most businesses are leaving 50%+ of that ROI on the table because the sequences either don’t exist or were set up once and forgotten.

What this actually does, on two fronts

Email automation for a small business splits into two jobs that usually get muddled: the marketing email that goes out to your list, and the support email that lands in your inbox. We set up both, because the founder’s time is being eaten on both ends.

On the marketing side, the work is the handful of automated sequences that quietly drive most of an SME’s email revenue. They run off triggers, not someone remembering to hit send:

  • Welcome sequence: the moment someone joins your list, a series that introduces the business and converts the first-time interest while it is hot.
  • Abandoned cart or abandoned enquiry: the reminder that recovers the sale the customer almost made.
  • Post-purchase: the flow that turns a one-time buyer into a repeat customer and asks for the review.
  • Re-engagement: the win-back for contacts who have gone quiet, which also keeps your list clean.
  • Nurture: the slow drip that keeps you front of mind for the leads who are not ready yet.

On the inbox side, the job is to stop the founder personally answering every email. AI inbox triage (Superhuman AI, Sanebox, or custom Gmail rules) sorts and prioritises what comes in, so the urgent and the important surface and the noise gets out of the way. A support macro library of 10 to 20 templates means the questions you answer fifty times a week get a consistent, on-brand reply in one click instead of a fresh paragraph each time.

Where AI genuinely helps, and where we hold the line

In 2026 AI is strong at the drafting and sorting parts of email, and we use it there. It drafts sequence copy and support replies in a first pass; it classifies an incoming email by intent so triage knows what to do with it; it summarises a long thread so whoever picks it up has the context in a sentence. That removes hours of grind a week.

What we do not do is ship machine-written copy unreviewed. The AI drafts, we calibrate it to your brand voice, and you approve before anything sends. Customer-facing email is where a confident hallucination or an off-tone line does real damage, so a person stays in the loop on every sequence and every macro. AI speeds the work; it does not get the final say.

Australian compliance is not optional

Every send is built to the Spam Act 2003. That means real consent capture (you can show how each contact opted in), a working unsubscribe in every message that is honoured promptly, and clear sender identification with an accurate from-name. We review these as a standard part of the build, because for AU sends they are non-negotiable and getting them wrong carries real penalties. We also set list-hygiene rules so you are not emailing people who never agreed to hear from you, which protects both your compliance position and your deliverability.

What it looks like in a real AU business

  • The ecommerce store leaving money on the table. A store with 5,000 contacts has Klaviyo but no flows. We build welcome, abandoned-cart and post-purchase sequences, and a chunk of revenue that was leaking every week starts arriving on autopilot.
  • The founder buried in support email. A services business owner answers every enquiry personally at night. We set up AI triage and a macro library so the VA handles the routine 80% in a click, on-brand, and only the genuinely tricky ones reach the founder.
  • The list that has gone stale. A business with an old list and falling open rates gets a re-engagement sequence and list-hygiene rules, which win back some quiet contacts and quietly remove the dead weight dragging deliverability down.

How the engagement runs

It is a fixed-scope project, $1,800 to $5,000, over 2 to 3 weeks. We start with a discovery and audit of your current email setup, then build 5 to 10 automated sequences with copy written for each (and your brand-voice review), set up the AI inbox triage rules, build the support macro library, define your segmentation and list-hygiene approach, run the Spam Act compliance review, and set up a reporting dashboard. You get 30 days of post-launch tuning.

What we need from you is access to your email platform (Klaviyo, ActiveCampaign, Mailchimp or Beehiiv), your existing copy and brand-voice guidance, and a person to review and approve the drafts. The build works best when you have a list worth automating to; a B2B account with under 200 contacts usually does not yet justify it.

A few honest questions people ask

Will the AI write in our brand voice? AI drafts, we calibrate to your voice, and you approve. The copy that ships lands in your tone. We do not send machine-generated copy without review.

What about Spam Act compliance? It is standard in every build: consent capture, unsubscribe flows and from-name conventions, reviewed before anything goes live.

Can you migrate us, say Mailchimp to Klaviyo? Yes, as a separate scope. Migration is typically 1 to 2 weeks on top of the rebuild, depending on how much history moves across.

Who this is for, and who should wait

This pays back fastest for AU ecommerce and service businesses with 1,000 or more contacts and no email automation, teams paying for Klaviyo, ActiveCampaign or Mailchimp but using under 30% of what it can do, and founders still personally answering every customer email. In all three cases the platform and the audience already exist; the revenue and the time savings are sitting unclaimed because the flows were never built or the inbox was never tamed.

Two groups should hold off. A B2B account with very low list volume (under 200 contacts) usually does not yet have the audience to justify automated sequences; warm, manual outreach is the better use of effort first. And highly regulated industries that need a human to review every individual send (legal and financial advice among them) are a poor fit for send-on-trigger automation, because the compliance model there is manual by design. We will say so rather than build something that puts you at risk.

What “done” looks like

Every DotVA AI services engagement is fixed-scope, fixed-price, and fixed-timeline. No retainers without a defined deliverable. No “discovery phases” that turn into 6-month projects. The scoping call is free; the written quote that follows is what you sign off on.

Why we say no

We turn down roughly 30% of applications. Usually because the team isn’t ready, the goal isn’t clear, or there’s a simpler path that doesn’t need us. We’d rather tell you that on the discovery call than take a brief that won’t deliver. The shortest path to outcome isn’t always us.
